Médecins Sans Frontières (MSF) is an independent, medical, emergency relief organisation that provides assistance to people worldwide, regardless of their background, religion or political convictions. Above all, we aim to save lives and to offer medical care to victims of disasters, wars and epidemics. Working together with local staff, we give direct support to the population. MSF also appeals to those in power, including governments and international organisations, and speaks out about the abuses we encounter in the course of our work.
MSF coordinates operations through collaborations between global offices. The office in Amsterdam is known as ‘MSF Operational Centre Amsterdam’ (MSF-OCA), operates medical humanitarian interventions in about 25 countries. Annually, MSF-OCA deploys approximately 1,800 staff. The office of MSF-Holland located in Amsterdam hosts more than 350 employees, offering direct support to MSF-OCA operations.
The Public Health Department of OCA supports the overall purpose of MSF, providing medical and public health leadership for the organisation. The department is responsible for providing strategic direction and integrated advice on medical and public health issues to the field and headquarters. The PHD plays a key role in developing and maintaining the medical humanitarian identity and image of MSF-OCA, and in continuing to develop and improve intervention strategies so as to be relevant and effective.
The Public Health Department is made up of a group of generalist Health Advisors (based in Amsterdam and Berlin) and medical and public health specialists (based in Amsterdam, Berlin and London) so as to provide expert support in a range of fields including infectious diseases, mental health, nutrition, paediatrics, and vaccination as well as epidemiology, health promotion, laboratory, pharmaceutical quality/medical supply, and water/sanitation.
With immediate effect our Public Health Department (PHD) is looking for an
Information management officer (50%)
POSITION WITHIN THE ORGANISATION
You will report directly to the deputy Medical Director and work closely together with the assistants to the department. You are also expected to work in close cooperation with the colleagues who have a similar position in the other departments in the organisation.
The key deliverable is the maintenance of the recently established information management system (Sharepoint). The policies have been drafted, so your task will be to do the implementation and the training. The training methods are not yet defined so you will also be involved with the planning. You are the focal person for bugs and issues towards IT support and the focal person the department on new features and tips and tricks.
On a daily basis, you can expect to be doing administrative tasks like managing the access rights of the colleagues in the PHD and to the medical coordinators in the missions. Then you write a communication on some new tips, tricks or short cuts that are available. In the afternoon, you are giving a briefing on the SharePoint and information management to a new staff member. You provide document management support and enforce archiving policies and procedures.
The portal is designed to be the PHD repository of all medical protocols/procedures used within MSF-OCA and it serves as a communication tool with the colleagues in the projects and missions.
We are looking for a business centric focused member who will look at SharePoint from the end user point of view. It helps if you have experience with implementing procedures and guidelines, and if you know what a good training looks like. You are a good communicator who is service oriented and can easily adapt to the variety of specialists that you are liaising with. You will play a pivotal role in engaging with members on digital tools and thus pro-activity will be highly valued when informing staff about updated guidelines and procedures. You are a teamplayer both for the PHD department, the IT colleagues and with the colleagues in the other departments, when you align information management across the organisation. You are flexible and a multitasker, who can easily shift between the different sets of tasks.
You are the librarian and the curator of the system and thus responsible for the acquisition, organisation, accessibility and preservation of the digital library. It is thus important to sometimes be persistent, and always organised and detail oriented when it comes to the maintenance of the system and the check on naming conventions and versions. The documentation and information sharing is subject to validation process and internal guidelines as well as to data protection rules and regulations. Previous working experience with similar regulations and data protection laws is therefore an asset.
Experience with Sharepoint and generalist document management will also prove valuable, but most of all it is helpful if you have the ability to learn quickly and on your own and can adapt easily to the changing technologies.
